Hatgiving 2014 Wrap-up

A BIG thanks to the 150 people that came out for Hatgiving 2014! The event went super well with Green Bean Casserole taking down Coffee 11-6 in the finals!

While the event is fresh in your memory, it would be fantastic if as many participants as possible filled out the quick Hatgiving 2014 Feedback Survey.

Lots of event photos are online right here:

Hatgiving Reminders

Prize hats!

Prize hats!

I hope you’re all as excited as we are for Hatgiving 2014!

Here are some important reminders for Saturday:

1) Games will start promptly at 9. Not “Ultimate time” 9am, the actual 9am 🙂 Please make sure you arrive early enough to warm up and submit any missing paperwork or payments. Games will be done by 4:30pm.

2) Please take a minute to check your Player Status and make sure everything looks accurate. Also, take note of your missing items and take care of them ASAP.

3) Do NOT stop your vehicle on the roundabout. At all. You must park in the lot and unload from there. Please respect this request.

4) Everyone who is a USAU member needs to make sure they confirm their spot on the event roster. You will do this through an email you should have received from USAU. If you haven’t seen the email please check your spam folder. If the email isn’t there, please login to your USAU account and confirm your roster spot from there. You will not be allowed to play until you have confirmed your spot.

5) If you’re under 18, you must bring a completed Chaperone/Medical Waiver form. Please list Josh Seamon and Jo Sleigh as the chaperones. Jo and I must have this form in hand for you to be allowed to play.

6) If you’re not a USAU member, you must bring a completed USAU membership form on which you select the “Single event” option. Jo and I must have this form in hand for you to be allowed to play.

7) While we can take credit card payments at the event, it would be very helpful if we could minimize the number of people needing to pay the day of the event with a credit card. If you have a credit card and haven’t paid, you can send in our payment right now through PayPal using the link on the registration page. You do not need a PayPal account to use PayPal. You must pay your event fee before you will be allowed to play.

Hatgiving 2014 Rostering & Paperwork

Hatgiving2014This email just went out to the 118 players that have so far registered for Hatgiving 2014:

Hello everyone,

You are getting this email because you have signed up to participate in Hatgiving 2014! The Valley Ultimate board is thrilled to be hosting all of you this Saturday for a wonderful day of Ultimate at GCC!

We’re currently at 118 participants and we’re aiming to pull in 60 more. If you have friends that have been meaning to sign up, please remind them that all player fees increase by $8 on Wednesday night, if we have any spots left by then that is!

In the coming days you will receive team composition and competition information from Joe Costello, as well as some tournament reminders from Dan Kaplan.

This email is about everyone’s favorite topics: rostering & paperwork! 🙂

Here’s what you need to do:

If you’ll be under 18 on 11/22: You must bring a chaperone form with you to the event. Please list Josh Seamon and Jo Sleigh in the chaperone field. The form is attached. (Medical_Authorization_V3.pdf)

If you’re NOT a USAU member: Make sure you bring a completed USAU membership form on which you select the “Single event” option. The single event fee has been folded into your Hatgiving player fee and we will be sending that in along with your completed form. The form is attached. (2014WaiverConcussionForm_v6.pdf)

If you are a USAU member: You should have all received an email from the USAU system asking for your confirmation to be added to the online roster. Many of you have already confirmed — Thanks! Everyone else: Please find that email and confirm your online roster spot ASAP.

I am keeping an updated spreadsheet of everything you need to get done on the Player Status page. Please take a minute to find yourself on that sheet to make sure everything looks accurate.

A note about payments: If you plan on paying by check, please make sure you put it in the mail with enough time so that it can get to Easthampton before Saturday. If there is any doubt that the check will arrive in time, bring it with you and hand it off to me before games start at 9am. Also, remember that you can always pay by credit card the day of the event.

Let me know ASAP if you have any questions.

11/11/14 Board Meeting

Screen Shot 2014-11-13 at 7.14.31 PMHere’s what was covered at the last Valley Ultimate Board meeting:

In attendance: Terry Plotkin, Josh Seamon, Dan Kaplan, Tiina Booth, Jo Sleigh, and Joe Costello

We spent most of the meeting discussing the upcoming Hatgiving tournament, ironing out logistics and planning promotion. The entire Board was very happy with the momentum the event has generated. We feel as though it’ll be fun, competitive, and a great way to spread the word about Valley Ultimate.

As of right now, 90 people have registered for the event from over 30 towns! We’re hoping to be able to close registration on the night of the 18th when we reach our event cap of 180.

We also talked financials and as a Board came to the consensus that we’d like to aim for one day becoming a non-profit. We also discussed ways in which Valley Ultimate could further one of its goals of acting as a clearinghouse of Ultimate information.

Info regarding the date and time for the next Board meeting will be posted on this site as soon as it’s known.
